When you enrol we collect your name, email address, phone number, academic year, major, track, and the skills you select. You may also upload a resume.

The enrolment questions and the priority ranking you complete are stored as numbers, not as the text of your answers.

Sustainers additionally provide their professional title, role details, affiliations, availability, and any limitations on the patients they can see.

As you use the portal we store the events you sign up for, the hours you log, your attendance record, and any reflection or review forms you submit.

To run membership: to know who has joined, to reach you about events, and to confirm your payment.

To match students with mentors and clinical placements, which requires sharing your name and contact details with the physician you are paired with.

To produce the hour reports and certificates you request.

To understand what our members need, using the enrolment answers in aggregate.

You can see your own record at any time from your portal.

The IHSAN executive board can see member and sustainer records in order to run the organisation.

A physician you are placed with can see your logged hours and the evaluations they write about you. Evaluations are kept on file for future recommendation letters.

We do not sell your information, and we do not share it with anyone outside IHSAN except the services listed below.

Google Firebase stores your account and the platform's data, and hosts this website.

Zeffy processes membership payments and donations. Card details are handled by Zeffy and never reach us.

Resend delivers our automated emails.

Twilio delivers our text messages.

If you are a sustainer and give us a mobile number, we send you a text when a student books one of your shadowing shifts and a reminder the day before the shift. That is a few messages a month at most; the frequency depends on how many shifts you publish.

We never share or sell your mobile number, and we never use it for marketing.

Message and data rates may apply. You can stop texts at any time from the Notifications toggle in your portal Settings, or by replying STOP to any message. Reply HELP for help.

We keep your record for as long as you are a member, and afterwards as part of the club's historical record of participation.

Ask us to delete your account and we will remove your personal details, keeping only anonymous attendance counts.

You can edit your contact details and enrolment answers from your portal at any time.

You can turn off newsletter emails and text messages in your settings.

You can ask us for a copy of everything we hold about you, or ask us to delete it, by emailing ihsanhealthcareutd@gmail.com.
